Registration support · Iraq & Kurdistan region

Iraq MoH and KMCA product registration: two authorities, two separate files. The Iraqi MoH in Baghdad and the KMCA in the Kurdistan region, both assembled while the line runs.

Two authorities sit between a European production site and an Iraqi pharmacy shelf. The Ministry of Health in Baghdad runs one process. The Kurdistan Medicine Control Agency runs the other. We assemble the site file and the product file for both. We bring our European production into Iraq. Iraqi importers and scientific offices come to hold a European formulation under their own name. Of the 2,059 formulations listed, 1,590 print their site's MoH and KMCA status on the product page. 753 of those are made at registered sites. 837 are still open for exclusive registration.

What we take on, and what we do not

Who ends up on this page

A European producer like us decides to sell in Iraq and has no site file yet with the MoH or the KMCA. That is one half of the work. The other half starts in Iraq. An importer or a scientific office finds a European formulation nobody has filed yet, and wants it under their own name. Brand owners already selling in Baghdad come to us for the Kurdistan region, which is a second file and not a copy of the first. Moving a product to a different production site sends the file back to the beginning as well.

What goes into the folder

Certificate of Analysis first, with the product specifications and the stability data behind it. Then the Free Sale Certificate. For a medicine the authority may want a Certificate of a Pharmaceutical Product instead. We supply our GMP certificate and our manufacturing licence. Add the certificate of origin, artwork carrying Arabic labelling, and samples where a laboratory asks to test them. Every product page lists what can be pulled on request: Certificate of Analysis, Certificate of Origin, Certificate of Conformity, Free Sale Certificate, MSDS. Legalisation comes before submission, through the Chamber of Commerce and the Iraqi embassy.

The site file comes before the product file

A production site the authority has never seen is filed first. Its products wait behind it. Several of our production sites in Germany, Italy and Spain already hold MoH or KMCA registration, and that is what shortens the work. We build the file in-house. The applicant of record in Iraq submits it with us, and we answer the authority's queries as they arrive. This is coordination, not legal advice. Whatever checklist the authority is running that month is the one that counts.

Baghdad and the KMCA do not share a file

The Kurdistan Medicine Control Agency keeps its own file, runs its own review and issues its own certificate. Clearance in Baghdad does not carry north, and clearance in the north does not carry back to Baghdad. The catalogue shows the split. Sites registered with the KMCA alone account for 180 formulations. Another 213 are made at sites known only to the Iraqi MoH, and 360 at sites that hold both. We file the two separately, so neither market waits on the other.

What actually slows a file down

Assembling the folder takes weeks when our certificates are current. An expired GMP certificate or a lapsed Free Sale Certificate is the usual reason it takes longer. Legalisation runs while the line is producing; the production time, from formula lock and artwork approval to the first pallet, is set in our offer for each product. Review at the authority is a separate clock. It moves with the category, the queue and how complete the file was on the day it went in. We tell you the current expectation when you enquire. We do not give you a date.

Once a certificate is in hand

It carries the applicant's name. Not ours. Exclusivity stays with that name for as long as the registration is renewed. Every shipment after that needs its own paperwork, and customs and the health authority check it: the batch Certificate of Analysis, the certificate of origin, the legalised commercial documents. A new pack size or a change to the label is a variation on the same file, and so is the renewal.

How it works

Four steps, from the first check to the first pallet.

01 — Screen the site, then the product

First question: does our production site hold registration with the MoH, with the KMCA, or with neither. Second question: has anyone filed this formulation in Iraq, is it open for exclusive registration, or is it sitting in a queue. The catalogue page of every supplement and medicine prints the current status.

02 — Collect the documents, then legalise them

CoA, Free Sale Certificate or CPP, GMP certificate, specifications, stability data, Arabic artwork. We put them together and walk them through the Chamber of Commerce and the Iraqi embassy while the line is running.

03 — Submit in Baghdad, in the Kurdistan region or both

The file goes in under the applicant's name. Baghdad and the KMCA receive separate submissions. We handle the authority's queries and send samples wherever a laboratory asks for them.

04 — The certificate, then the first pallet

A certificate issued in your name comes back to you with the batch documents for the first shipment. Repeat orders, renewals and variations run on the file you already have.

Questions buyers ask first

Private-label facts, answered upfront.

Do I need a separate KMCA registration to sell in the Kurdistan region?

Yes. The Kurdistan Medicine Control Agency keeps its own file, its own review and its own certificate. Baghdad has no say in it. We submit the KMCA file on its own. In the catalogue, 180 formulations are made at sites registered with the KMCA alone and 360 at sites registered with both authorities.

Which documents does an Iraq MoH product registration file need?

Certificate of Analysis, specifications, stability data. A Free Sale Certificate, or a CPP where the authority asks for one on a medicine. Our GMP certificate and the certificate of origin. Arabic labelling and samples. All of it legalised through the Chamber of Commerce and the Iraqi embassy. The checklist the authority is running at the time is the one that applies. We coordinate the documents in-house. We do not give legal advice.

Can the registration be issued in my company's name?

Yes. An Iraqi importer or scientific office can file a formulation nobody has registered yet and hold it. The certificate names the applicant. It does not name us. 837 formulations in the catalogue are marked as not yet registered in Iraq and open on that basis, 115 of them medicines from our GMP site in Spain, from 10,000 units.

How long does Iraq MoH or KMCA registration take?

The folder itself is assembled in weeks, provided our certificates have not expired. Legalisation runs alongside production, whose time is set in our offer for each product. After that the clock belongs to the authority. Category, queue and the state of the file all move it. We tell you what to expect today for your product. We never give you a date.

Do your production sites already hold registration in Iraq?

Several of our production sites hold MoH or KMCA registration. 753 products in the catalogue are made at sites already known to one authority or to both, most of them made in Italy and Germany. We confirm site status for every line at the start of a project. A production site the authority has not seen is filed before any of its products.

What is a Free Sale Certificate and who issues it?

The competent authority or the chamber in the country of manufacture issues it, and it states that the product is sold freely on that market. Iraq and the Kurdistan region both want it in the supplement file. Every product in the catalogue can have one on request. For a medicine the authority may also ask for a Certificate of a Pharmaceutical Product. We request it from the health authority of the country of manufacture and have it legalised for submission.
